How to Get Started

In the new system, the .ae files of texts assigned for review, correction, and proofreading. get placed in the AmVerse/Toproof folder of your personal directory in Library_hti/Work/Users.

To work on any of your assigned files, MOVE it (don't just copy it) to the Inprog ("in progress") folder in your AmVerse folder. Make as many backups there as you like, export to .sgm, whatever. When you've completed all the steps (review, correction, proofreading), MOVE the final .ae file to the DONE folder in your AmVerse folder. Any interim versions, backups, etc., should be either deleted or moved to some other folder, but they should be removed from the inprog folder. This way, the three folders' contents will show clearly

  1. which files have yet to be touched (in "Toproof"),
  2. which files are actually being worked on (in "Inprog"), and
  3. which files are done (in "Done").

I'll move files into "ToProof" (and reserve the right occasionally to move files out of there too, if someone else is short of work); and I'll periodically clear files out of "Done". As I move files into "ToProof", I'll enter them in the Access database and record whom they're assigned to.

No more check-out: just the move the file into Inprog and get to work.

Check-in is done (at the time that you move the files to "Done") using the Access database (see instructions below), where'll you'll need to record how long it took to review/correct the markup, how long it took to review/correct the transcription, and when you finished the whole thing.

How to Check-in a Text

  1. Make sure that the *.ae file is in the done folder of your own Amverse directory.
  2. Go to the "Library/hti" server and the directory: "Users/Shared/Access Amverse" and double click the "Amverse Check-in" icon.
  3. This will open MS Access and a form called MURPfirst. This form presents you with two options: "Check-in a text" and "End Check-in." Click on the former button.
  4. This will open a second form simply called "Check-in." The field called "Notis ID" identifies the particular text that you are checking in. The pull down menu should contain the text you are checking in (If not, close the form and the application and email Paul Schaffner "pfs"). Select the appropriate textid (the Notis Id will be recorded).
  5. If tag review and Proofreading are in fact complete (and they should be if you are checking something in) then mark the check boxes and log the time it took for each task IN HOURS ("3.5" = three and a half hours).
  6. Select your own uniqname from the "Completed by" pull-down menu (If it is not there, please drop me a note).
  7. Make sure all of the information is properly entered. If so, click "Check-in Now" which will commit the information to the database, close the current form and take you back to the "MURPfirst" form.
  8. At this point you may repeat steps #2-7 if you have more than one text to check-in. If not, click "End Check-in" and you will then be bounced from the application.

Note: I think you will find this process a bit less complicated than these instructions might suggest and easier to use than Livelink.
